Refresh Key User Training Epicor ERP – PT Cibaliung Sumberdaya (CSD) — March & April 2019

As proof of RAK’s commitment to support CSD in the Epicor ERP system operational use, post go-live, and after the completion of the project, an Epicor Refresh Key User Training (KUT) activity is conducted for selected Key Users from all departments (business areas), that already use Epicor as the main backend-system.

The training material given in this Refresh KUT is all Epicor material implemented in CSD for all business processes in each department (business area), that is:

  1. Finance & Accounting,
  2. Supply Chain,
  3. Human Capital Management,
  4. Maintenance Management,
  5. Production Mining,
  6. Production Manufacture (Plant Processing),
  7. specific solution for the mining industry, inter alia: Issue Requisition (IR) and Fuel Management

The Issue Requisition (IR) is a new feature as an Epicor custom solution built by RAK which is very sophisticated function to accommodate the business process of requesting spare parts and others stock item to the warehouse – automatically.

The Refresh KUT activity is carried out outside the CSD office environment, at Puncak, Bogor. By taking a location outside the office, it is expected that the participants can focus on following the training activities, the activity can run effectively, can well absorb all material without being interrupted by daily operational work, so that after the completion of training it is expected that Epicor can keep suitable on become the main backend system in the respective departments, can optimized the specific business processes in the company, and the main objectives of the training can be achieved well.

The main objective of this activity is to provide additional knowledge for Epicor Key Users in each department (business areas) in CSD to be able to effectively oversee and become the main PIC’s who deeply understands the functions at Epicor and its suitability in both the business processes and technical processes on the Epicor system, as well as being as a Business Analyst and Internal Consultant for the company during the operational use of Epicor system in CSD

Also, as a central party in the company of the Epicor matters – for management, end-users, and the IT team.  Comprehensive and integrative understanding of Key Users, not compartmentalized and able to comprehensively see things happening in Epicor with an integrative perspective so that a good ecosystem is created and further the use of a more optimal Epicor ERP system.

Considering the ridiculously huge scope of Epicor used in CSD, with the involvement of all departments (business areas), with the total number of Key Users participating in this Refresh Training totaling 24 people, the Epicor Refresh KUT activity was determined into 2 batches, with the number of training participants is 12 people per each batch.

To make the training running effectively, the number of training participants is 12 people per each batch. The Batch 1 KUT Refresh activity will be carried out on 14-25 March 2019, while the Batch 2 KUT will be carried out on 3-14 April 2019.

Every day there were training evaluation to the participants in both written tests form as well as presenting & reexplaining to other participant what the material has been given on that day. This method proof effective to give all participants a deep understanding, because they will later act as a Key Users and Business Analysts, who are the backbone of operating the Epicor system in CSD.

At the end of this Refresh KUT, a few names were appointed as the best Key User, with an assessment method and evaluation result, covering several aspects, including the results of a written test, the participant’s ability to explain the material in front of other participants, the activeness of the participants in discussions as well as questions and answers and understanding for improvements that have been made and other questions relating to business processes and technical processes.

One tangible result gain from this Refresh KUT by Key Users is that the process of reviewing and analyzing operational data is carried out on a daily and regular basis by key data holders (Key Users) in each department (business areas), with one of the main objectives being to avoid piling up the whole process at the end of the month, which makes the process take longer. Key Users are also responsible for controlling and monitoring the daily data review in a structured manner along with analyzing the data. With this, hope that the operational process on using Epicor will stable to provide reliable data.
