SYSPRO Point of Sale

What Is?

Point of Sale is a business or place where a product or service can be purchased. The capturing of data is done at the time and place of sale.

Computers or specialized terminals are combined with cash registers and bar code readers for accurately and instantly capturing the transaction. Point of Sale performs quick entry of orders with inventory updating, back ordering and taking of deposits and payments.

Cash drawers and payment types need to be defined as well as a cash sale customer.

The customer is invoiced at the counter, and can pay by credit card, cash, on account or with a deposit. If goods are not in stock, they can be ordered and the customer can be advised when the goods come into stock.

SYSPRO Solution

SYSPRO Point of Sale is a fully-integrated retail software solution that provides complete control over the management and operations of all facets of a business including accounting and distribution operations in a variety of industries.

SYSPRO Point of Sale facilitates over-the-counter sales transactions by accepting payments or deposits efficiently. It is used to sell stock directly to a customer and enables immediate stock allocation and payment as it is done at the point of transaction.

SYSPRO Point of Sale’s full range of functionality gives you the time you need to manage the ‘front’ of your business effortlessly and effectively.

Every SYSPRO Point of Sale solution includes complete off-line trading functionality. Should your network or server go down, your Point of Sale system keeps on working without any interruptions.

Point of sale numbering
Point of Sale has a branch invoice number and a quote number that is unique to Point of Sale. In the event that the branch is offline, it will only ever print the branch invoice number for customers as the posting only happens in SYSPRO when the transactions are copied and posted. There are two custom form fields that must be created against the sales order if you want to see these numbers against the order and the invoice in SYSPRO. If these exist, the Point of Sale will update these custom form fields when posting so these numbers can be viewed and reported on in SYSPRO.

The custom form fields that must be defined are:
• _POS01 = BranchSalesOrderCustomField
• _POS02 = QuoteNumberCustomField

Licensing, operator groups and e.net Solutions permissions
Point of Sale utilizes SYSPRO business objects to post to SYSPRO. Although e.net Solutions is utilized, you do not require any e.net Solutions licensing. Point of Sale users are sold separately and licensed through the standard SYSPRO licensing mechanism. Point of Sale users are not tied to SYSPRO users so you can have 10 SYSPRO users and 500 Point of Sale users if necessary.

Point of Sale users are completely separate entities from SYSPRO users. When creating a Point of Sale user, the system will automatically generate a SYSPRO user for auditing purposes. These operators are flagged as Point of Sale only which means the SYSPRO operator that is generated cannot be used to log into SYSPRO. The option exists to link a Point of Sale user to an existing SYSPRO user in the case where the Point of Sale operator has functions that are performed in SYSPRO as well.

When the Point of Sale generates an operator in SYSPRO, it copies the __POS operator so it is important to ensure that the correct access, Microsoft SQL passwords etc are setup for this user. Even though Point of Sale does not need to be licensed for e.net Solutions in any way, there is still access against an operator group that can cause permission issues if the operator does not have access to the business object being used in Point of Sale.

Our recommendation is that you create an operator group called POS and assign this group to the __POS and all existing POS operators. Against this operator group, access to all e.net Solutions business objects should be given. If you do not do this, the danger with assigning specific access is that if new features are added to Point of Sale that use new business objects, you will have access issues until you change it against the group.

Batch Invoicing
It is very important to note that no batch invoicing must be processed in SYSPRO when using Point of Sale for any of the Point of Sale branches or sales orders. This will result in transactions getting stuck in the transaction review in the incorrect status. All orders processed in Point of Sale must be completed and posted by Point of Sale. Under no circumstances must modifications, invoicing, payments etc be done in SYSPRO for any orders processed in Point of Sale.

The exception to this rule are orders processed in the Manage Orders function – as this is always updating SYSPRO directly.

Main Menu
The SYSPRO Point of Sale Main Menu helps you locate and run the programs required for daily tasks. When you launch SYSPRO Point of Sale for the first time, all modules are displayed in tabbed pages by default. Selecting the module tab will display the available programs in a Ribbon bar.

The default SYSPRO Point of Sale window that is displayed contains the following module

The security access rights will determine which menu options are displayed. Access is configured by the System Administrator, and usually relates to your current role within your company.

Process Flow

Customers will enter the retail environment and choose their required items. Once all the required items are picked by​​​​ the customer, they will take the items to the payment area. The customer pays for the items and then leaves the retail environment with​​ their purchased items.

Module dependencies
SYSPRO Point of Sale integrates with the following solutions:
• General Ledger
You define the ledger codes to which day end processing amounts will be posted.
• Accounts Receivable
Customer information is used for Point of Sale sales orders.
• Cash Book
You define the transactional bank to which day end processing amounts will be posted.
• Sales Orders
Sales are recorded in Sales Orders.
• Inventory
This provides the stock code information including price and availability.

Optional
• Contact Manager
When Contact Manager contacts are to be used in SYSPRO Point of Sale.
